Team members are invited into your organisation by email and given a role. Roles scope what each person can see and do, which matters most for shops using volunteers or part-time staff who should be able to do intake without seeing payouts or billing.

Why roles matter more than they sound
The security argument is obvious and secondary. The bigger reason is usability: a volunteer doing intake for one shift should see an intake screen, not a settings tree with forty options they must ignore. Scoping access is what makes the software learnable for people who only have one job in it.
The security argument is still real, though. Consignor payouts, billing and customer data are not things every person who touches inventory needs access to.

Offboarding
Remove access the day someone leaves, not the week after. In a business that handles consignor money and customer data, a dormant account belonging to a former employee is a real risk, and removing it takes ten seconds.
Their history stays intact — the record of who created which item and who processed which sale is not erased by removing access, which is exactly what you want.

Can a volunteer do intake without seeing prices?
Roles scope what is visible. For most charity shops the useful split is that volunteers create records and managers set prices, which also produces better pricing.
Can someone belong to two organisations?
Yes. A bookkeeper or consultant working with several shops can be invited to each with their own account.
What happens to items a removed user created?
Nothing. The items and the audit history remain; only the person's access is revoked.
